Job DescriptionTo maintain an orderly reception, receive all visitors and direct them to relevant Nandoca. Responsible for greeting clients and visitors, and responding to, telephone, email and written inquiries and requests.
Minimum RequirementsGrade 12 or equivalent
1 – 3 years’ reception or office administration experience 
 
Duties and ResponsibilitiesReceptionist/Switchboard – Administration

Responsible for answering the switchboard and re-directing all telephone calls to the relevant Nandoca.
Handling general queries and directing them to the relevant personnel or department.
Receive visitors and direct them to the appropriate location or Nandoca.
Supply information pamphlets, brochures or forms.
Manage telephone requests for information or appointments.
Assist with typing letters and memo’s.
Report any telephones being out of order at any time.
Report malfunctioning/breakdown of photocopying machines or other office equipment
Make phone calls on behalf of persons in the Regional Office as needed
Assist Security with locating Nandoca’s and informing them that their visitors have arrived.
Manage the daily visitors log for security guard
Manage the office biometrics access system
Ensure that the reception area is maintained in a professional manner.
Order refreshments for the KZN Regional Office and visitors who are waiting in Reception.
Conduct daily checks of all office facilities for cleanliness and maintenance purposes
Handle incoming, outgoing and internal packages and courier services
Assist the GM and office administrator with reporting and other regional administrative functions
Assist with coordination, planning and execution of meetings, functions, and training sessions.
